Fast track and automated case management with proAutomate

Features for more efficient accounting business

With proAutomate, you can easily create, manage and track activities for effective bookkeeping services. proAutomate can autogenerate cases with incoming emails on a dedicated email inbox, and attachments are automatically stored at centralised storage in a proper folder structure.

Automated Case Generation

For automated case generation, the system assigns the cases based on the client’s domain from incoming emails in the inbox. Each case is assigned with a unique case number for easy tracking. You can also generate the cases manually with the ability to track the progress of each case easily. The generated case enters a queue that your team will track see the list of assigned tasks against the cases.

Reminders and Notifications

proAutomate sends automatic notifications that reminds assigned Account Manager, if the case has not already been started. If any further documents are required, Account Manager can inform the customer.

Any unresolved case can be assigned to a supervisor if the Account Manager is able to resolve the case.

 

Automated Storage

Any attachments received with incoming emails are automatically stored in centralised storage.

 

Manage Accounts

Easily create, and manage client accounts and track the number of cases against each client. You can define primary contacts for each account. If an Account isn’t already in the system, you can easily generate the new Account with an easy sign-up form. You can describe each business with the following filterable details:

  • Industry
  • Number of Employees
  • Turnover per annum

Assign Contacts Against an Account

Add multiple contacts to each Account using a simple user interface. Differentiate each contact with:

  • Job Title
  • Contact Number
  • Email Address

 

View Timeline of Activities

View timeline of activities and any actions taken against each case. Each activity is stored and reflected automatically.

 

Activities and Task Management

Assign cases to your team members. Each team member will be able to see their tasks in the Activities tab. Various tasks are generated against the case, for example, taking some action before closing the case, emailing about updates on the case, or setting up a Teams meeting. 

Activities Management

You get access to customisable activities management view, that shows information about the business, and its case(s). Account Managers will be able to see activities related to different cases, such as Appointments and Emails (emails against each case).

Calendar View of All Appointments

Calendar view of all the appointments. Once the appointment is added related to case, it will reflect in Activities and synchronise with Outlook Calendar.

Task Filtering

Accounts Managers can filter out which emails have been read or not read from Activities by selecting an account from the list.

    Automated Document Management

    proAutomate provides access to all the documents shared by the customer that are stored automatically. The documents can be stored in SharePoint, OneDrive or DropBox. For each customer, a separate folder is created automatically. proAutomate can also build sub-folders, based on dates. proAutomate can also generate documents in a separate folder for each task.

     

     

    Dashboards for Account Managers

    Every account manager can see progress of the cases. Supervisors and C-Level executives can also access the dashboard. The dashboard can provide overview of pending cases, or cases with no progress.

    The dashboard also provides an overview of overall progress of all the cases, and provides details relevant to the cases.

    Access Documents

    The dashboards also allows access to documents shared against all cases.
